Competitions and events

Organiser's guide

The steps below show how to organise a fishing competition with RoFish, from the announcement to the final results. Organising is done in the app; the competition's public page also opens on the website, without an account.

Announce the competition

  1. In the app, open “Competitions” on the Home screen and tap “Add an event”.
  2. Choose the “Competition” type, write the title, the start date and time (and the end, if you know it) and search for the lake in RoFish. If you pick the lake from the list, the competition also appears on its page.
  3. Tap “Send for approval”. The competition appears in the list after a moderator checks it; you get a notification.
  4. Right after sending it you can tap “Set up the competition”. You can fill in the settings while you wait for approval, too.

Competition settings

  1. Format: “Individual” or “Teams”, with 2–6 anglers per team. The format can no longer be changed after the first registrations.
  2. Turn on “Registration in the app” so anglers can register in RoFish. You can set the number of spots (empty = no limit; for teams, spots are teams) and the period when registrations are open. Without a period, registrations stay open until the competition starts.
  3. “I confirm each registration”: on, you accept or reject each registration; off, a registration is confirmed automatically while there are spots left.
  4. The fee (in lei) is optional. With “Card payment of the fee, in the app”, anglers pay by card and the money goes straight to your account, through Stripe. You enable payouts only once (the same account as for Market). The online fee is at least 2 lei; RoFish keeps a 1% commission.
  5. “Payment deadline after acceptance” (1–168 hours, 24 by default): if the angler doesn't pay within this time, the registration is cancelled and the spot is freed automatically.
  6. Rules: write the text (up to 30,000 characters), upload them as a PDF (at most 10 MB) with “Upload the rules as a PDF” and/or add a link. The PDF is saved right away; you replace or delete it from the same place.
  7. Schedule: add rows with the date, time and type (Start, Pause, Resume, Weigh-in, End, Something else). The first Start and the last End in the schedule are used for notifications if you don't start and stop the competition by hand.
  8. Prizes (place and prize) and sponsors (name, logo, link) appear on the competition page.
  9. “Appeal period after the stop” (0–1440 minutes, 30 by default).
  10. Optional: the league the competition belongs to and the stage number, then “Standings by points per sector”, if you want each angler's place within their sector to count first.
  11. Tap “Save”. If you leave with unsaved changes, the app asks you first.

Registrations

  1. Everything is done from the “Competition panel”, on the competition's card in “Competitions and events”.
  2. Anglers register from the competition page (“Competition details” → “Register me”), optionally with a phone number that only you can see. You get a notification for every new registration.
  3. In “Registrations” you accept or reject (with a reason, if you like). At the top you see how many spots are taken and how many anglers are on the waiting list.
  4. When the spots are full, new registrations go on the waiting list. If someone withdraws, is rejected, is removed or doesn't pay in time, the first person on the list moves up automatically and gets a notification.
  5. With an online fee, after you accept, the registration shows “Accepted – payment is next”, and after payment it becomes “Confirmed”.
  6. “Remove from the competition” removes a registration (with a reason, if you like; the angler gets it in the notification). If they sign up again, their registration waits for your confirmation. A paid fee is not refunded automatically: you tap “Refund the fee”, the full amount goes back to the angler's card and the registration leaves the competition.
  7. In team competitions, the captain creates the team, invites teammates (with a RoFish account or just by name) and registers the team once it has exactly the set number of anglers. In “Teams” you see who is in each one.

Referees and weigh-in officials

  1. In “Helpers” you search for the angler by name and add them as a referee or weigh-in official. They get a notification with the competition's name that takes them to the competition page.
  2. Referees start and stop the competition, weigh fish, cancel weigh-ins, do check-in and answer appeals. Weigh-in officials only weigh fish and do check-in.
  3. Helpers have the “Weigh-in” button (with check-in) on the competition card in “Competitions and events” and on the competition page.

Pegs and the draw

  1. In “Pegs” you enter the number of sectors and pegs per sector and save (at most 30 sectors, 100 pegs per sector and 500 in total).
  2. “Prepare the draw” locks the list of confirmed competitors and publishes the fingerprint (sha256) of a secret. If anyone joins or leaves after that, the draw has to be prepared again.
  3. “Run the draw” assigns the pegs and reveals the secret. Competitors get a notification, and the draw is shown animated in the leaderboard.

Afterwards anyone can check that the pegs come exactly from the secret announced in advance, so nobody can rig the draw.

Check-in at the lake

  1. Every confirmed competitor has a check-in QR code in the app, on the competition page.
  2. You or your helpers open “Weigh-in” → “Check-in” and scan the code. The name, sector and peg appear.
  3. If your phone has no scanner (older versions of the app) or the competitor doesn't have their phone, pick the name from the list or type the code. “Registrations” also has “Manual check-in”.

The competition and the weigh-in

  1. In “Running” you tap “Start the competition” (only after the moderator's approval) and, at the end, “Stop the competition”. If you don't tap them, the times in the schedule or the competition date are used.
  2. Competitors get notifications at the start, 30 minutes before the end and at the end. Anyone who turned off “My competitions” in Settings → Notifications no longer gets them (nor announcements or leaderboard places), but registration acceptance and payment and weigh-ins to confirm always reach them.
  3. To weigh, tap the competitor's name and enter the weight in kg, to the gram (for example 2.545). Species, length and a photo are optional.
  4. With no signal, the weigh-in stays on the phone and is sent automatically when the internet comes back. A weigh-in sent several times is recorded only once.
  5. The competitor gets a notification and confirms the weigh-in in the app.
  6. You or a referee cancel a wrong weigh-in, with a reason. It no longer counts in the leaderboard, but it stays visible and appears in the export.
  7. Add competitors without a RoFish account with the “Participant” button (name, sector, peg).

Announcements to competitors

  1. In “Running” you tap “Send an announcement to competitors” and write the message (at most 500 characters).
  2. Everyone registered (including those on the waiting list and their teammates) and the helpers get it as a notification. The announcement also stays on the competition page, and under the button you see how many anglers received it.
  3. You can send at most 3 announcements per hour and 10 per day for a competition, only after the competition is approved and up to 14 days after it ends.

The live leaderboard

  1. In “Manage the leaderboard” you choose the criterion: Total weight, Number of fish or Biggest fish.
  2. “Public live leaderboard”: on, anyone who opens the competition, in the app or on the website, sees the leaderboard updated instantly. Off, only the people in the competition (you, your helpers and the competitors) and the moderators see it.
  3. The leaderboard can be filtered by sector, and competitors in the top 10 get a notification when they move up to a new place.

Appeals

  1. Competitors file appeals in the app until the stop plus the period set in Settings. You and the referees get a notification.
  2. In “Appeals” you choose “Under review”, “Accept” or “Reject” and write an answer, which the competitor receives.

An accepted appeal doesn't cancel anything by itself: if needed, you cancel the weigh-in from the weigh-in screen.

Final results

  1. After the stop and after the appeal period, tap “Finalise the results” in “Running”. The leaderboard is frozen. If the period hasn't passed or there are unanswered appeals, the app asks whether you want to finalise anyway.
  2. Everyone in the competition gets a notification. Competitors can share their diploma, and the competition appears in the history on their profile.
  3. Made a mistake? With “Reopen the results” (within 7 days of finalising) you correct it and then finalise again.

The export

  1. In “Export”, the PDF has the leaderboard and the list of participants, to print or send to the association.
  2. The Excel (CSV) file also has the registrations with phone numbers, all weigh-ins (including cancelled ones) and the appeals.
  3. Once the results are final, “Everyone's diplomas (PDF)” makes a single PDF with one diploma page per competitor, in leaderboard order, ready to print for the award ceremony.

Leagues and circuits

  1. From Settings → “My leagues” you create a league: name, season, points per stage (place in sector or overall place) and how many stages count (the best ones; empty = all).
  2. A competition becomes a stage when you choose the league and the stage number in Settings, or from the league page (“Add one of your competitions as a stage”).
  3. At each stage, the points are the place achieved; anyone absent gets the stage's last place plus 1. Fewer points = better, and in a tie the total weight decides.
  4. The overall standings appear after the first stage with final results.
  5. Competitors reach the league from the competition page (“League”). From the league page, “Share” sends the link to its public page (after the first approved stage).

The next stage

  1. In the Competition panel you tap “Duplicate”, enter the date and time of the new stage and, if you like, a different title.
  2. The settings, the league (with the next stage), the rules (and the PDF), the schedule (moved to the new date), the prizes, the sponsors, the pegs and the helpers are copied.
  3. The registration period, registrations, teams, weigh-ins, the peg draw and the results are not copied.
  4. The new competition waits for a moderator's approval, like any new event. The app opens its settings: check them and tap “Save”.

The public page and Share

  1. After approval, the competition has a public page on rofish.app, with the details, schedule, prizes, sponsors and rules (and their PDF). It opens even without an account or the app.
  2. The live leaderboard appears there only if you made it public; after finalising, the page shows the final results. The league has a public page too.
  3. From the competition page in the app, “Share” sends the link on WhatsApp, Facebook or wherever you like.

Competitors' phone numbers never appear on the public page.
